To Create a Distribution Order Using a Form

  1. Select File > New > Distribution Order.

    The Distribution Order form opens in the Content pane.

  2. Fill out the form as needed. The following fields are required: Number, Organization, Return Address

    Number A unique number or code that identifies the distribution order. The distribution order number is either auto-generated based on a predefined mask, or it can be manually configured if there is no predefined mask or if you need to override the auto-generated number.

    To manually configure the distribution order number, you can either enter a fixed value (for example, DO-12345), or you can enter a mask (for example, DO-#####) and then click the Auto Number icon to generate the next available distribution order number. For example, if you enter DO-##### as the mask and the highest distribution order number in the community is DO-00100, the next available distribution order number would be DO-00101.

    Tip: The Distribution Order Mask is used to auto-generate the distribution order number when the form opens and is defined by the administrator in System Defaults (System Admin > System Defaults > Identification > Distribution Order Mask).
    Class The class of the distribution order.
    Date Received Optional tracking date to identify the date the distribution order was received.
    Organization The issuing organization to which transmittal receipts will need to be returned.
    Return Address The address associated to the organization selected above.
    Tip: The addresses in this field are determined by the list of directory entries (contact methods) currently defined for the selected organization. The selected organization must already have at least one directory entry defined, otherwise there is nothing to select in this field and you cannot complete the form.
    Remarks Lets you enter or edit the text that will be printed on each transmittal.
    Note: Default remarks for all distribution orders in this community are defined in System Admin > System Defaults > Distribution > Remarks Printed on Distribution Transmittal.
  3. Click the Add icon in the action bar.

    The distribution order is created. You can now define additional relationships for the distribution order. The information entered into the Number field displays in the tab at the top of the Content pane.
